Aged Care
This is an extension to Microsoft Dynamics 365 Business Central.
Why?
Aged Care is a Business Central extension for retirement and aged care centres — unifying hospitality billing (accommodation, catering, activities) and medical care management (health monitoring, medication, treatments) in one system, from waiting list to monthly invoice.
What does it do?
Resident Management
- Centralised Resident Card with photo, personal details, emergency contacts, and family relationships.
- Waiting list management: track prospects, expected admission dates, and priorities before a bed becomes available.
Health & Care Tracking
- Monitor each resident's allergies, vaccinations, medication schedules, and weight history directly on the Resident Card.
- Integrated with the Health Tracks module for structured care plans and treatment histories.
Service Catalogue & Billing Policies
- Define hospitality services (rooms, meals, laundry, activities) and medical services (nursing, physiotherapy, consultations) offered by your centre.
- Attach individual billing policies: fixed price, daily rate, per-usage, or subsidised rate.
Invoicing — Ad-hoc and Batch
- Issue invoices on demand or run a batch invoicing cycle to process all active residents in one step.
- Powered by Business Central's Project (Jobs) engine: services tracked as job planning lines (delivered vs. billed). The Membership extension adds subscription and recurring charge patterns so periodic fees are generated automatically.
- The resulting invoices are standard Business Central Sales Invoices, fully integrated with the General Ledger and Accounts Receivable.
Split Payments & Funding Bodies
- Allocate charges across multiple payers: family contributions, private insurance, and government / state-funded bodies.
- Configure split rules per resident or service type; amounts flow to the correct debtor account automatically.
Resource Allocation via Microsoft Bookings
- Manage access to shared facilities (therapy rooms, transport) and specialist staff (physiotherapists, visiting doctors) via Microsoft Bookings.
- Staff and residents book via Microsoft Bookings — any browser or the Bookings app. Confirmed bookings synchronise automatically into Business Central, keeping scheduling and billing data aligned.
Inventory & Procurement
- Built on Business Central's full supply chain engine — purchasing, receiving, stock tracking, and reorder policies.
- The Keep In Stock extension simplifies this for care staff: replenish medical supplies and catering stock with minimal clicks — purchase orders are raised automatically.
Multiple Locations & Restricted Access
- Model each care centre or wing as a Responsibility Centre, enhanced by MatchBC Set Dimensions (auto dimension tagging) and Responsibility Center Number Series (location-specific numbering).
- Restrict staff to their assigned locations via the MatchBC User Restrictions By Dimensions extension — no custom development required.
